What should I expect to pay for a copier for my small office?

One of the most common questions we get from business owners across Lafourche and Terrebonne parishes is what a copier actually costs. The honest answer is that it depends on a few things — how much you print, whether you want to buy or lease, and what features you need. Here is a straightforward breakdown based on what we see every day.

Buying a Copier Outright

A basic desktop copier for a small office that handles light volume — a few hundred pages a week — typically runs between two thousand and four thousand dollars. A mid-range floor-standing copier that handles higher volume and includes network scanning, printing, and copying will fall in the five to twelve thousand dollar range. These are the models most of our customers in Houma, Thibodaux, Larose, and Raceland end up choosing. For large offices or government buildings that need heavy-duty production machines, prices can go higher, but most small businesses do not need to go there.

Leasing a Copier

Most of our small business customers prefer leasing because it keeps the upfront cost near zero. Monthly lease payments for a standard office copier typically range from one hundred to four hundred dollars per month on a three to five year term. That usually includes the machine itself plus a service agreement that bundles toner, parts, labor, and repairs into the same payment. You get predictable costs and no surprise repair bills.

What Affects the Price

The biggest factor is print volume — a machine rated for five thousand pages a month costs less than one rated for fifty thousand. Color capability adds cost over black-and-white only. Features like automatic document feeders, duplex printing, large paper trays, and finishing options like stapling and hole-punching also move the price up. Speed matters too — a copier that prints twenty pages per minute costs less than one that prints sixty.

Cost Per Page

Beyond the machine itself, you pay a cost per page for toner and consumables. For black-and-white, this is usually between half a cent and two cents per page. Color pages cost more, typically six to twelve cents each. On a service contract, these costs are bundled into your monthly payment so there are no surprises.
