What does a copier maintenance contract actually cover?

A service contract takes the guesswork out of keeping your copier running. Instead of paying per repair, you pay one flat monthly amount that covers almost everything. Here is what our contracts at Bayou Office Machines include and what they do not.

What Is Included

Our service contracts cover all parts, all labor, toner, drums, developer units, feed rollers, fusers, and any other internal components that wear out over time. When something breaks or wears down, you call us and we come fix it — usually the same day, anywhere in Lafourche, Terrebonne, St. Charles, St. James, or Jefferson Parish. There is no charge for the visit, no charge for the parts, and no charge for the labor.

Toner Is Included

This is the one people are most surprised by. On our contracts, toner is included in your monthly payment. When you start running low, you call us or we ship it automatically based on your usage. You never have to go out and buy toner yourself, and you never get hit with a surprise toner bill.

What Is Not Included

Paper and staples are the main things not covered. Damage from misuse — someone spilling coffee into the machine, for example — is also excluded. Other than that, everything is covered.

How Billing Works

Most contracts are based on a per-page rate. You get a monthly page allowance for black-and-white and color prints. If you go over, you pay a small per-page overage. If you stay under, you just pay the base rate. The result is a predictable monthly cost with no surprise repair bills.

Is a Service Contract Worth It

A single service call without a contract can run several hundred dollars. A replacement fuser or drum unit can cost hundreds on its own. One unexpected repair can cost more than several months of contract payments. For any business that depends on its copier — which is most of them — a service contract pays for itself the first time something goes wrong. That is why the vast majority of our customers choose one.
