Why Copier & Printer Security Matters — And How Toshiba Is Leading the Way

Most people think of a copier as a machine that makes copies. Makes sense. But the multifunction copier sitting in your office today is really a networked computer — hard drive, processor, memory, the works. That means it carries the same security risks as any other device on your network. Most businesses never think about it. They probably should.

The Hidden Risk Sitting in Your Office

Every document you copy, scan, print, or fax passes through the machine's internal storage. Contracts. Employee records. Financials. Medical files. Without the right protections, any of it can be pulled back off the machine by someone who knows where to look. And here is the part that catches people off guard: when a copier comes off lease, gets sold, or is sent off for disposal, that stored data can walk right out the door with it. Back in 2010, a CBS News investigation bought used copiers at a warehouse sale and found tax records, police reports, and medical documents still sitting on the hard drives. Nothing had been wiped. That risk has not gone anywhere.

Your Copier Is on the Network, Which Cuts Both Ways

Because a modern copier connects straight to your office network, it can become a way in. An unsecured machine can be used to grab print jobs, reach shared folders, or give an attacker a quiet foothold to dig deeper. Companies spend real money on firewalls, antivirus, and endpoint protection. Then they forget about the copier sitting in the hallway. Attackers do not.

How Toshiba Handles It

Toshiba builds security into the core of their e-STUDIO multifunction systems. These are not paid add-ons or features you have to go switch on. They come standard, right out of the box. Here is what that actually means, in plain terms.

Self-Encrypting Hard Drives

Every Toshiba e-STUDIO copier uses a self-encrypting hard drive. Everything written to that disk is automatically locked down with 256-bit AES encryption. Pull the drive out and plug it into another machine and you get nothing. Without the key, the data is unreadable.

Automatic Data Overwrite

After every job — copy, print, scan, fax — the machine overwrites the temporary data it stored on the drive. This is not a regular delete. It follows recognized data-sanitization standards, writing over the data multiple times so it cannot be recovered. You do not have to remember to do anything. It just happens, every job, every time.

A Clean Wipe at the End

Only the Right People Get Access

Toshiba copiers support user authentication with PIN codes, ID cards, or a tie-in to your existing Active Directory or LDAP setup. So only the people who should be using the machine can. And you get a full audit trail — who printed, copied, or scanned what, and when.

Locked Down on the Network, Too

Toshiba machines support IPsec, SSL/TLS, and SNMPv3 for encrypted communication across your network. Your print job is protected on its way from your desk to the copier, not just once it lands. You can also use IP and MAC address filtering to spell out exactly which devices are even allowed to talk to the machine.

What You Can Do Right Now

If your copier is more than a few years old, it may not have any of this. Three things are worth doing today. First, ask whoever services your machine whether the hard drive is encrypted and whether data gets overwritten after each job. Second, make sure the firmware is current — manufacturers push security patches for copiers the same way they do for computers.
