Why Copier & Printer Security Matters — And How Toshiba Is Leading the Way

Most people think of a copier as a simple machine that makes copies. But today's multifunction copiers and printers are full-fledged networked computers — complete with hard drives, processors, memory, and network connections. That means they carry many of the same security risks as any other device on your network.

The Hidden Risk Sitting in Your Office

Every document you copy, scan, print, or fax passes through your machine's internal storage. Without proper security, that data — contracts, employee records, financial documents, medical files — can be recovered by anyone with access to the machine. When a copier is returned at the end of a lease, sold, or sent for disposal, that data can go with it. In 2010, a CBS News investigation found sensitive personal data on the hard drives of used copiers purchased at warehouse sales. Tax records, police reports, medical documents — all sitting on machines that had been returned with no data wiped. The risk has not gone away.

Network Vulnerabilities

Because modern copiers connect directly to your office network, they can become an entry point for attackers. An unsecured copier can be used to intercept print jobs, access shared folders, or even serve as a foothold for deeper network intrusion. Self-Encrypting Hard Drives

Every Toshiba e-STUDIO copier uses a self-encrypting hard drive that automatically encrypts all data written to disk using 256-bit AES encryption. Even if someone physically removed the hard drive from the machine, the data would be unreadable without the encryption key.

Automatic Data Overwrite

After every single job — copy, print, scan, or fax — Toshiba machines automatically overwrite the temporary data stored on the hard drive. This is not a simple delete. It follows recognized data sanitization standards, writing over the data multiple times so it cannot be recovered. You do not have to remember to run a wipe. It happens every time, on every job.

Secure Erase at End of Life

When a Toshiba copier reaches the end of its lease or is being replaced, a full secure erase can be performed on the hard drive. This ensures that no residual data remains on the machine before it leaves your office. Access Controls and Authentication

Toshiba copiers support user authentication through PIN codes, ID cards, or integration with your existing Active Directory or LDAP system. This means only authorized employees can use the machine, and you get a complete audit trail of who printed, copied, or scanned what and when.

Toshiba machines support IPsec, SSL/TLS, and SNMPv3 for encrypted communications across your network. Print jobs traveling from your computer to the copier are protected in transit, not just at rest on the hard drive. IP and MAC address filtering lets you control exactly which devices on your network can communicate with the copier.
